Events Specialist

Plan and execute internal and client events both on-site and off-site in support of firm objectives; this includes events initiated by the New York office and/or other global offices.


Work with and support the Global Director of Events, Events Manager, the global events team, attorneys and internal teams with the development and implementation of an overall best practice approach to event management on behalf of the Firm.


Responsibilities
  • State key duties to be performed Work with attorneys, clients, Marketing teams, firm committees, the chairman and other internal departments to develop, implement and measure a best practice approach across (but not limited to):
  • Client social events
  • Client seminars
  • Sponsorship opportunities
  • Firm events
  • Retreats
  • Lead the development of event objectives and measures by establishing goals and responsibilities. 
  • Set up formal post event analysis including a review of final attendance, budgets and client and attorney feedback.
  • Track ROI of events.
  • Ensure that budgets are vigorously adhered to and tracked.
  • Ensure that all stake-holders are kept up-to-date with project progress and ensure constant review of event objectives.
  • Make sure that client contact information and invitee lists for events are stored responsibly through the use of the relevant database, lnterAction, when appropriate.
  • Strategize and identify event-based business development opportunities.
  • Establish close affiliation with industry and professional associations and venues to ensure the Firm receives maximum value for receptions, dinners and external conferences.
  • Work with the procurement team and partners to ensure that all vendors/suppliers and contracts are managed appropriately and the Firm receives the best possible level of service at all times.
  • Responsible for managing department projects and constantly initiating and developing better processes to improve department function and efficiency.
  • Work with relevant internal departments including concierge, catering, Brand and Design, and Marketing/Business Development to ensure that the use of in-house resources i.e, design, catering, meeting spaces, etc. are treated as a “preferred supplier” whenever possible. Manage the production of events including:
    • Research, presentations and site visits
    • Contract negotiations and vendor relationship management
    • Client-facing and attorney-facing event communication
    • Budgets
    • Collateral
    • On-site event management including overall logistics and lime management
    • Hotel room block management
    • Travel management for large regional and global conferences post-event follow up and ROI tracking
  • Work alongside all teams to ensure that both our clients and lawyers benefit from events run by the Firm (including any relevant administrative support required)
  • Update and publish any relevant internal event calendars or announcements in  a timely manner
  • Act as an ambassador of the Firm at all times Additional special projects include: Support the Global Director and Events Manager on implementation of significant internal and external events, including the Firm's Global Partner Meeting, Development Conference for New Partners and Key Client events in addition to supporting business development events in all practice areas.


Essential job requirements Knowledge, skills and abilities required to perform this job
  • 3 to 5 years events experience
  • This job requires at least 25% travel
  • Proactively improves event processes and initiatives
  • Available to work evenings and weekends
  • Required domestic and international travel as necessary
  • Detail-oriented with excellent follow-through skills
  • Proven track record in establishing new and enhancing existing relationships with suppliers/vendors
  • Strong knowledge of upscale NYC restaurants/fine dining
  • Flexible team player with a 'can do' attitude and demonstrates resourcefulness
  • Builds strong relationships with internal clients
  • Proactive approach to projects
  • Proven ability to work independently, meet multiple tight deadlines and perform well under pressure
  • Superior communication skills; ability and confidence to communicate with all levels of management
  • Positive and mature attitude
  • Strong organizational, analytical, interpersonal, written, oral and project management skills
  • Proficient in the use of Word, Excel, PowerPoint and lnterAction
